We are recruiting for an Admin Team Leader to lead our multi-modality Community Diagnostic Centre at our established Fitzrovia, London location. We are the UK’s largest and leading provider of open MRI services, pioneering the use of Upright and Open MRI technology. We specialise in providing comfort-focused diagnostic imaging, catering to patients with claustrophobia, mobility issues or those requiring weight-bearing scans.
As an Admin Team Leader you will work alongside clinical and non-clinical colleagues in our dynamic and fast-paced sites to ensure they deliver professional and patient-focused services. As an integral part of our clinical support team, your skills will help us to deliver on our vision to make healthcare better.
What you will do:
Professionally manage and lead the admin team to execute a broad range of tasks involved with overseeing the end-to-end administrative procedures required to facilitate patient pathway. Your key responsibilities are, but limited to, managing the admin team and working with the service manager on the KPIs for the service. You will work closely with the Service Manager and Superintendent, as the sites management team, to ensure the smooth running of the service, while successfully building and maintaining NHS and Private partnerships.
What are you responsible for:
- Ensuring the service delivers the highest standard of patient care whilst meeting customers’ expectations.
- Managing the rota for the Clinical Support Team (Medical Receptionists and Health Care Assistants)
- Overseeing the day-to-day activity for the clinical support team, ensuring a smooth running.
- Leading on and being actively involved in recruitment activity for the clinical support team
- Designing and delivering structured induction programmes for all new clinical support team members
- Ensuring the annual appraisal process is completed on time and incorporates a personal development plan for each team member
- Increasing employee engagement by regularly requesting feedback from team members, maintaining a positive team environment and improving retention
- Engaging team members with the patient satisfaction results, financial activity and overall unit performance in conjunction with the Service Manager
- Developing immediate team members by providing coaching and mentorship
- Maintaining up-to-date training, appraisal and PDP records for the team
- Supporting escalated disciplinary and grievance concerns
- Understanding the administration tasks and processes in full, being prepared to step in and deputise if required
- Compiling reports required by the Service Manager or Business Manager
- Supporting to manage the KPIs for the service, collating and reporting the data to the Service Manager
- Participating in and leading audits, delegating tasks to the team as required
- Maintaining stock control
- Overseeing the completion of month end administrative procedures
- Reporting all incidents and complaints
- Ensuring imaging data and reports are distributed to patients or referrers in line with clinical priority and contractual performance indicators
You will have experience of:
- Working at a similar level of management in a customer or patient focused environment
- Being involved in the attraction, recruitment, selection and retention process
- Training and developing direct reports to achieve professional development
- Using a wide range of Microsoft packages and other IT systems
- Setting departmental objectives, KPIs and plans
